Prepare your business for AI-driven solutions

How to make enterprise data and processes safely available to AI agents through controlled MCP access, RBAC, and a deterministic orchestration layer.


AI agents are quickly moving from clever demos into real business workflows. Whether you want a copilot that answers questions over your enterprise data, a chatbot that triggers internal processes, or an assistant inside an employee portal, the same precondition keeps coming back: the AI is only as useful as the data and the actions you safely give it access to.

This guide is about how to prepare a business for that step. It is partly an architecture overview, partly a practical checklist of the things you'll wish you had decided up front.

1. AI Without Data Is a Toy #

The first uncomfortable truth: AI cannot create insight out of thin air. If you want it to replace BI dashboards, summarise sales performance, draft reports, answer customer questions, or recommend next steps, it needs structured access to the underlying systems (ERP, CRM, e-shop, warehouse, billing, ticketing, HR).

The naive way to give it that access is to wire each system to a Model Context Protocol (MCP) server and let the agent figure out the rest. That works for a hackathon. In a real organisation, three problems show up almost immediately:

  • Authorisation: an MCP that exposes "the database" exposes it to whoever the agent is talking to. There is no notion of which user is asking, and no enforcement of what they're allowed to see.
  • Performance: agents that pull raw data live, on every question, melt source systems and produce inconsistent answers.
  • Reliability: agents that improvise queries can read partial, stale, or simply wrong data and present the result with confident wording.

Before plugging AI into anything important, you need a layer that solves all three.

2. Authentication and Permissions Come First #

The single most under-appreciated decision in an AI rollout is identity. Who is the agent acting on behalf of right now? What is that person allowed to read, change, or trigger?

A serious AI deployment needs:

  • A single source of identity (typically your existing IdP via OIDC or SAML) that flows through the agent into every backend call.
  • Role-based access control (RBAC) so a sales rep, a controller, and a warehouse operator each see and do different things, even though they're talking to the same assistant.
  • Audit trail of who asked the AI to do what, separately from what the AI ultimately did inside backend systems.

If these three pieces aren't in place, you're either over-exposing data or hand-rolling permission logic in every prompt, which is fragile and impossible to audit.

3. Don't Let the Agent Orchestrate Critical Processes #

There is a tempting but dangerous pattern where the agent is given low-level tools (read this table, write that record, call this API) and asked to assemble them into a business process on the fly. It often works in a demo. It also occasionally invents steps that shouldn't exist, skips validations, or runs operations in the wrong order.

For anything that touches money, inventory, customer commitments, or regulated data, the process needs to be exact, not improvised. The right division of labour is:

  • The agent decides which business operation to invoke based on the conversation.
  • A deterministic backend executes that operation exactly the way it has been designed and tested.

The agent stays in the loop for understanding intent and presenting results. The actual steps stay under engineering control.

4. Where Orchesty Fits #

Orchesty is built to be the deterministic execution layer that AI agents call into. It addresses each of the problems above directly:

A controlled MCP catalog of business operations #

Each topology in Orchesty can be exposed as an MCP tool with a clear name, description, and parameter schema. The agent sees a curated catalog of business operations (for example create customer, issue refund, pull last quarter's revenue by region), not a generic database. This dramatically reduces hallucination because the model is choosing from a small, well-described set of actions instead of inventing API calls.

Per-user RBAC enforced at the orchestration layer #

Orchesty resolves the asking user and applies your RBAC rules to decide which operations are even visible to that user, and which are allowed to execute. A controller can ask the assistant to run a financial close report; the same prompt from a warehouse operator simply does not surface that tool. Permissions live in one place rather than in dozens of MCP integrations.

Process context that helps the model choose correctly #

Beyond the tool list, Orchesty can supply the agent with structured context about each process: what it does, what inputs it needs, what side effects it has, and what its expected outcome looks like. This context is what turns "the model guessed something reasonable" into "the model picked the right tool with the right arguments".

A real orchestration backbone for heavy data movement #

A lot of AI use cases (replacing BI, generating reports, answering analytical questions) need moved, joined, and shaped data, not just live API calls. Orchesty handles the heavy lifting in the background: pulling from sources, deduplicating, aligning identities, normalising into a queryable shape, then handing the result back to the agent. The agent stays fast and conversational; the platform does the integration work.

System-level authorisation for outbound calls #

When a process needs to call external systems on behalf of the user, Orchesty centralises credentials, secrets, and rate limits. The agent never sees an API key. The platform does, scoped to the operation and the user, with a full audit trail.

5. A Concrete Pattern: The Employee Portal #

A good way to ground all of this is a use case that's becoming common: an AI-powered employee portal.

The portal is a chat (and form) interface where any employee can ask things like "give me my last three pay slips", "raise a procurement request for two laptops", "show me last month's churn by segment", "approve invoice 2026-1138". Behind the scenes:

  • The portal authenticates the employee against the corporate IdP. For smaller projects, Orchesty can act as the IdP itself: you can define user groups directly in the platform and bind them to specific processes for exactly this purpose.
  • The chat agent receives the question along with the employee's identity and group memberships.
  • Orchesty exposes a curated MCP tool catalog. RBAC trims it down to only the operations this specific employee is allowed to invoke.
  • The agent picks a tool, fills in arguments based on the conversation, and asks Orchesty to run it.
  • Orchesty executes the underlying topology against ERP, HR, and finance systems, applies validations, and returns a structured result.
  • The agent may render the result back to the employee in natural language.

Sensitive data never has to pass through the LLM

Letting the agent rephrase a result is convenient for casual answers, but some outputs (pay slips, salary figures, customer PII, financial breakdowns) should not be sent to an LLM at all. In those cases the response is formatted inside the topology itself, as part of the process, and returned to the portal already rendered (a styled HTML block, a downloadable file, a structured table). The agent only delivers the prepared output to the user without ever seeing the raw values. This way the same chat interface can serve both casual and confidential operations, without compromising on data exposure.

Every action is auditable. No employee can trigger anything they wouldn't be allowed to do in the underlying systems. The agent never improvises critical steps. New use cases are added by building (or reusing) topologies, not by retraining the model.

6. A Practical Checklist Before You Plug AI In #

If you're about to start, the short version is:

  • Decide on the single source of identity that flows through the agent.
  • Define RBAC at the level of business operations, not raw tables.
  • Inventory the processes you want the AI to be able to trigger and document them well enough that a model can choose between them.
  • Treat data movement (for analytics, reporting, BI replacement) as an integration project, not as something the model will figure out at runtime.
  • Keep critical processes deterministic. Let the agent decide what and for whom; let your orchestration layer decide how.
  • Make sure everything the agent does is logged in a way you'd be comfortable handing to an auditor.

Done in this order, an AI rollout stops being a science experiment and starts being something an enterprise can actually run.
